1.1.1 Introduction – What is an asset?
An asset refers to any item of value and
utility. A building’s assets can include anything from the furniture and
decorations to light bulbs and alarm systems to water heaters, boilers and air
conditioning systems. Assets are important when you are creating
maintenance events and cases. MYBOS maintains history of an asset through cases
and maintenance items applicable to it. Over a period of time, you can actually
track the service and maintenance history for all assets at your site. The list of assets can grow very long so it
is advisable to organise your assets into specific categories and sub
categories. MYBOS provides a comprehensive default list of categories but you
have the option of creating your own categories. See How
to create a category for more details. When you view any asset details, you can
see its service/repair history at the bottom. This history is extracted from
cases and maintenance items and is auto-maintained by the system.
1.1.2 How to create a new asset?
1. Click on the Building menu item
on the left.
2. Several tiles would appear on
the screen showing different building modules. Click on Assets to view the assets
list.
3. Click New button at the top
right to view asset information screen.
4. In Asset Details section, enter
asset name and then select the applicable category using the Nest Under
category selector. If your desired category doesn’t exist, create a new
category by typing its name in the text box just below or by going into the Building > Categories section.
5. Enter asset location, serial
number, value, description, barcode, make and model. Not all fields are compulsory
but it is recommended to enter as much information as is available.
6. In the Contractors section, use
the combo box to select the relevant contractors one by one. As you select
contractors, they appear in the list on the right side. You can remove a
selected contractor by clicking on the bin icon next to it. Removing a
contractor from this area doesn’t delete the contractor from the system, it
just unlinks it from the asset.
7. In the Uploads section, use the
Select files buttons to upload asset photos and relevant documents e.g. service
manuals and service logs. Documents and photos can be removed in the same way
by clicking the Bin icon next to each attachment in the right hand side box.
8. In the Warranty information
section, add Warranty title, set Expiry date and press Select file button to
upload the warranty document. The expiry date would be used to notify you in
the dashboard when the warranty is about to expire.
9. Press Save to finish.
10. Note: If you are setting up a
new building, contact MYBOS Support to discuss batch upload of all assets.
1.1.3 How to search and edit an asset?
1. Click on the Building menu item
on the left and then click on Assets tile to view the list of assets.
2. By default, the list shows
assets in all categories. You can click on the category filter at the top left
to view and select the available categories.
3. The assets list is sortable by
asset name, location and serial number.
4. You can also search for an
asset by typing item name, location or serial number.
5. Click on an asset row to view
asset details.
6. Press the Edit button at the
top to start editing your asset details.
7. After you are done editing,
press Save to finish.
1.1.4 How to delete an asset?
1. Click on the Building menu item
on the left and then click on Assets tile to view the list of assets.
2. Find your respective asset in
the assets list. See How to search and edit an
asset for details.
3. Tick the checkbox on the left
of the asset row you wish to delete.
4. A Trash button will appear at
the top next to the Categories filter button.
5. Click this button to delete the
asset.
6. Note: there is no confirmation
dialog when deleting the asset. Please make sure you do not delete an asset
accidentally.
