Documents & Forms
This section provides the building management with an option to make certain documents available for their community. This is particularly useful when you want to provide essential documents such as building by-laws, floor plans, any guidelines and forms to your community members.
Documents uploaded in this section are only visible to your community once they log in to MYBOS community portal using their secure login. Just as a traditional librart has sections, Documents & Forms module provides you the option of creating folders.
How to create a Documents folder and upload file for the Community?
1. Navigate to Community by going to the Community button at the top menu bar.

2. The community dashboard will open. Now click the 'Documents & Forms' tab.

3. To upload a file click the "Upload File" button at the top right button and to create folder click the "Create Folder" button.

How to upload file?
After clicking the "Upload File" button, a new panel will appear. You can drag and drop the file you want to upload and the newly uploaded file will be visible in the Documents & Forms page.

How to Create a folder?
After clicking the "Create Folder" button, a new panel will appear where you can enter the folder name you want to add in Documents and Forms. Click save button once done.

The Folder you have created will appear in the Documents & Forms page.

To upload a file in the folder you created, click on the folder name.
Once inside the folder, you'll still see the "Upload File" and "Create Folder" button at the top right menu. You can either upload a file or create new folder within that folder by following the steps outlined above.

How to share the Documents & Forms to the Community?
You can share the file you uploaded in Documents & Forms as well as in your created folder by clicking the "Share with" button located below the 'Share' column.

After clicking the "Share with" button, a dropdown menu will appear, allowing you to choose the community you want to share the file with. Options include All Residents, All Committee members, specific residential types (Owner or Tenant), or to individual committee member like the Chairperson or Secretary.

This feature ensure you that only the appropriate individuals have access to the file, reducing the risk of exposure of sensitive documents to those who shouldn't have access.
If you mistakenly share it with the wrong community, you can remove them by simply clicking the X mark next to their group name.

How to delete/edit file or a folder from the Community Documents?
1. Tick on the checkbox
at the left side of the folder name or file name you wish to delete/edit.

2. Two new buttons will appear above; the Pencil Icon
is for editing/renaming the file/folder and the Trash icon
is for deleting the file or folder.

Note that if you selected more than 1 file/folder, only the trash button will appear to delete the file/folder you have selected.

a. When you click the Pencil icon for editing/renaming the file, it will open a new panel where you can enter the new file name. Click Update to save your changes.

b. When you click the Trash icon for deletion, a dialog box will appear for you to confirm the deletion. Click confirm to delete.

Moving of files to another folder is not supported. Instead, it's best to delete the existing file and then upload it again to the desired folder.
