Understanding the Data Import Templates

To effectively prepare the data import templates for the MYBOS platform for contractors, assets, maintenance schedules, residents, and budgets.

  1. Contractor Data Import (Time 0:50):

    • Ensure mandatory fields like industry/category, company name, and email address, main contact, contact number and contact email are included.

    • The contact details can overlap with the company details if you only have one contact. 

    • Use company name or generic name if individual contact is not available for the contact information.

    • Contractor contact information is important in order to create cases to send out quote requests, work orders as well as setting up maintenance schedules.

  2. Asset Data Import (Time 3:14):

    • Include mandatory fields such as categories and asset names.

    • Consider creating nest under (subcategories) for assets for better organisation.

    • Link assets to contractors by ensuring contractor import is completed first and the company name match.

    • Upload warranty information and documents has to be added manually to the asset after the import has been completed. 

  3. Maintenance Schedule Data Import (Time 5:59)

    • Include mandatory fields like start date, frequency, contractor, and subject.

    • Keep end date empty for schedules that never expire.

    • All date fields need to be setup as text and formatted as DD/MM/YYYY. 

    • Ensure unique subjects as the import won't allow the same Subject across multiple maintenance schedules.  

    • Link contractors and assets to a maintenance schedule ensure those imports have been completed prior and the contractor and asset names match. 
    • Set up email notifications for contractors if needed.

    • Upload documents like service agreements after the import has been completed. 

  4. Resident Data Import (Time 8:25):

    • Minimum requirement is apartment number.

    • Include additional information like first name, last name, and resident type (tenant/owner).

    • Format mobile numbers and phone numbers as text for import to work.

    • Add extra details include owner investor, managing agent, notes on apartment, car registration, pet information, and contact details if available.

  5. Budget Data Import:

    • Include budget account codes, names, commencement and expiry dates, and values.

    • All date fields need to be setup as text and formatted as DD/MM/YYYY. 

    • Update dates as needed for budget allocation against invoices.

    • Description field is optional but can be included for additional information.
