How to Use the Calendar to Manage Your Day

To effectively manage and navigate the calendar within MYBOS to track reminders, maintenance schedules, and amenity bookings.

 

Key Steps

  1. Overview of the Calendar
    • Shows reminders, maintenance schedule events, and amenity bookings.
    • Select Calendar from the left-hand side panel.
  2. Colour Coding in the Calendar
    • Different colours for different types of events and tasks.
    • For Maintenance Schedule Events:
      • Green is for completed.
      • Red for failed.
      • Blue for pending.
    • For Amenity Bookings
      • Green is for approved. 
      • Red is for rejected.
      • Orange is for pending.
  3. Types of Events in the Calendar
    • Maintenance schedule events with statuses: pending, failed, completed.
    • Amenity bookings with statuses: approved, rejected, no response.
    • Reminders can also be created/shown in the calendar.
  4. Filtering and Viewing Options
    • Ability to filter based on status.
    • Option to hide events, bookings or reminders for a clearer view.
    • Change view to see events by day, week or month.
  5. Specific Features
    • Gantt chart view of maintenance scheduled items and status, through Maintenance Schedule, it is exported to excel.
    • Option to view uploaded documents, invoices, and comments related to maintenance events.
  6. Navigating the Calendar
    • Understand the status of events and tasks.
    • Utilise filtering and viewing options for better organisation.
    • Access additional details like comments and documentation for better understanding of building activities.

Helpful tips for Calendar Management:

  • Ensure to mark tasks and events accurately as completed, failed, or pending to maintain accurate records.

  • Double-check the status of amenity bookings to approve or reject them promptly.

  • Avoid overlooking reminders and important events by regularly checking the calendar.

  • Utilize filters to focus on specific types of events and tasks based on priority.

  • Export data to Excel for better organization and analysis of maintenance schedules.

  • Regularly update and upload relevant documents and comments for easy reference and documentation.
