How to create a maintenance schedule event?

Maintenance schedule is simply your preventive maintenance plan for the building. It involves regular servicing, repairs or maintenance of the building assets, equipments and facilities to ensure that everything operates safely and efficiently.

 

Creating a Maintenance Schedule in MYBOS Portal

  1. Introduction to Maintenance Schedule

    • Definition: Preventive maintenance plan for the building.

    • Purpose: Regular servicing, repairs, and maintenance to ensure safe and efficient operations.

  2. Navigating to Maintenance Schedule

    • Access through left-hand menu bar.

    • Click on the "New" button to create a new maintenance event.

  3. Setting Up Maintenance Event

    • Start Date: Choose the date for the task to begin.

    • End Date: Determine when the maintenance event will end.

    • Frequency: Select how often the task should be carried out (options range from 1 time to 10 years).

    • Email Notifications: Option to notify contractors via email before the task.

  4. Asset Information

    • Select job areas: Common assets, private lot, and common non-assets.

    • Choose assets and contractors using category filters for easier selection.

  5. Assigning Assets and Contractors

    • Select specific assets related to the task (e.g., lifts, HVAC units).

    • Assign contractors responsible for the maintenance task.

  6. Adding Additional Details

    • Subject: Name of the task (will appear in the calendar).

    • Description: Detailed information about the task.

    • Upload photos and documents for reference.

  7. Saving and Editing Events

    • Verify information and click the "Save" button.

    • Edit event details if needed using the edit icon.

  8. Viewing Active Maintenance

    • Once saved, the event will appear in the active maintenance section for easy reference.
