How to Configure Managing Agents in MYBOS
This article explains how to configure Managing Agents in MYBOS by setting them up as a resident type. This gives Managing Agents access to the resident portal so they can lodge maintenance requests on behalf of the units they manage.
The easiest way to configure a Managing Agent in MYBOS is to set them up as a resident. This involves three stages:
- Creating a "Managing Agents" Maintenance category
- Creating a "Managing Agents" Resident type
- Creating an apartment record for Managing Agents and adding their user accounts

Step by Step Walkthrough
Part 1: Category Configuration
Step 1: Log in to the Building Manager Web Portal
Step 2: Open Settings in the left-hand sidebar, click Settings
Step 3: Under the Others section, click Categories & Descriptions
Step 4: From the Categories list on the left, choose Maintenance.
Step 5: You'll see a list of existing Maintenance types. Click Add in the top right corner.
Step 6: In the Name field, type: Managing Agents and click Save.
Optional: Add a description with instructions for the agent on how to fill out a request (e.g. "When submitting please include apartment number and resident name in description")
Step 7: Still within Categories & Descriptions, choose Resident from the Categories list.
Step 8: Click Add to input a new Resident type.
Step 9: Name the resident type to "Managing Agents" and save to finalise.
Part 2: Apartment Creation
Step 10: In the left-hand sidebar, click Residents.
Step 11: Switch to the Apartments tab, then click New Apartment
Step 12: In the Apartment Number field, type Managing Agents and click Save.
Step 13: Open the new "Managing Agents" apartment record and click the + icon (top right of the Residents panel) to add a person.
- Fill in the agent's details (name, company, contact info, etc).
- Under the Resident Type, select Managing Agents
Step 14: Create portal login credentials
- Click Generate Username to create a username (or enter one manually)
- Click Generate Password to create a password (or enter one manually)
- Check Notify resident by email so the agent receives their login details automatically.
Step 15: Repeat steps 13-14 for every Managing Agent that needs access to MYBOS. Each one will be added as a separate resident record inside the same "Managing Agents" apartment.
Once set up, each Managing Agent will have their own login to the MYBOS resident portal, where they can lodge maintenance requests under the "Managing Agents" category. Grouping them under a single apartment record keeps them organised and easy to manage, especially when an agent oversees multiple units.
