2.7.1 Introduction – What is the use of Documents & Forms?

This section provides the building management with an option to make certain documents available to their community. This is particularly useful when you want to provide essential documents such as building by-laws, floor plans, any guidelines and forms to your community members. Documents uploaded in this section are only visible to your community once they log in to MYBOS community portal using their secure login accounts. Just as a traditional library has sections, Documents & Forms module provides you the option of creating folders.


2.7.2 How to create a documents folder for the community?

1. Click the (red and round) community button at the top menu bar. The community dashboard will open. Now click the ‘Documents & Forms’ tab.
2. Click the ‘New’ button in the top right corner of documents view. A pop up menu will open.
3. Select ‘Folder’. Enter the new folder name and press save (disk) button.
4. The new folder has been created. (If it is not visible, click away from the module and then click back in).


2.7.3 How to upload a file for the community?

1. You must upload a file in a folder. If there are no folders, create one. See How to create a documents folder for the community? for details.
2. Click the (red and round) community button at the top menu bar. The community dashboard will open. Now click the ‘Documents & Forms’ tab.
3. Click the ‘New’ button in the top right corner of documents view.
4. A pop up will open. Select ‘Upload a Document’. A pop up form will open.
5. Enter the new document name, select the folder, and click ‘Select files’ button using file chooser dialog. You can only select PDF, Word or Excel files to upload in this section. After selecting the file, press Add button.
7. The newly uploaded file is visible in the respective folder.


2.7.4 How to delete a file or a folder from community documents?

1. Click the (red and round) community button at the top menu bar. The community dashboard will open. Now click the ‘Documents & Forms’ tab to view all folders and files therein.
2. To delete a file:

a. Click the ‘trash’ icon below the file.
b. A confirmation dialog will appear. Press OK to finish.

3. To delete a folder:

a. Click the ‘trash’ icon at the right end of the folder header.
b. A confirmation dialog will appear. Press OK to finish.


2.7.5 How to rename a file in the library?


File renaming is not supported. It is however advisable to delete the existing file (see How to delete a file or a folder from community documents?) and upload it again with the new name (see How to upload a file for the community?).
